About collecting information for PC accounting

The program runs in Windows XP/2003/Vista/2008/7/8.1/2012 and supports collecting information from any Windows computers.

The program supports three ways to collect data from computers. By combining them, you can solve the problem of automatically polling PCs in an enterprise network of almost any configuration.

In the presence of centralized administration (in the domain) on network computers you can install nothing and collect data for computer accounting using WMI if you have administrator rights on remote PCs (domain administrator). The program will automatically scan computers on a schedule, detect changes and notify you if necessary. If WMI cannot be used remotely on a network, Agents* can be installed on computers.

If the network decentralized or distributed(divided into many remote branches with limited access to PCs from the external network), then we provide data collection using Clients* using file servers, email or intermediate FTP servers. This scheme of work is used to collect data from tens of thousands of PCs scattered across branches throughout the country, as well as from portable laptops. What data is collected from the PC into the database

  • names of installed processors and their frequency;
  • amount of installed RAM;
  • names of hard drives and their capacities;
  • information about CD/DVD drives;
  • used USB flash drives and other storage devices;
  • installed video cards;
  • connected printers (local and network);
  • information about the installed OS (version, availability of updates);

    Accounting for licenses and programs

    Accounting as a single object

    Let's give an example of how a computer purchase is reflected in accounting. Vozrozhdenie LLC purchased a computer for management purposes on February 21, 2016, the configuration and cost of which are presented in Table 1.

    Based on the order of the director of Vozrozhdenie LLC, the useful life of this computer was set at three years. When registering this object, the commission draws up, signs and transmits to the accounting department an act of acceptance and transfer of fixed assets (according to the OS-1 form).

    The receipt of fixed assets is reflected in account 08 “Investments in non-current assets”, to which corresponding sub-accounts are opened for the types of non-current assets. For example, to reflect the acquisition of fixed assets, subaccount 1 “Acquisition of fixed assets” is opened. This organization applies the straight-line depreciation method to fixed assets. Depreciation has been calculated since March 2016. The straight-line method involves charging depreciation in equal monthly and annual amounts.

    Since the useful life of the purchased computer is set to three years, the annual depreciation rate is calculated as follows: 100% / ULI = 100% / 3 = 33.33%.

    The annual depreciation amount is calculated as the product of the original cost of the object and the annual depreciation rate, i.e. in this case: 58,150 rubles. x 33.33% = 19381 rub. The monthly depreciation amount is calculated as the quotient of dividing the annual depreciation amount by the number of months in the year, i.e. 19381 / 12 = 1615 rubles.

    The following accounting entries were made in the accounting department of Vozrozhdenie LLC to reflect the receipt of the computer and depreciation charges (Table 2).

    Accounting for a computer by individual parts

    In accounting, it is also possible to reflect computer and office equipment by individual parts and components. You can display the components of a computer as independent objects in the following cases:

    • the enterprise will use components of computer and office equipment to connect and connect to various equipment (for example, one printer will be used by several machines or a monitor will be connected to several computers);
    • an enterprise uses a printer as a fax or copier, and therefore the terms of use of the components of office equipment will be different. In these listed cases, computer equipment can be taken into account not as a whole, but in parts.

    For example, Zarya LLC purchased a computer in February 2016, the equipment of which is presented in Table 3.

    The monitor is supposed to be used on different system units, so the organization decided to separately account for the components of the computer. The following useful life periods were established for the computer components (Table 4).

    Since different useful lives were established for the components of the computer, they are taken into account separately as part of inventories, because the cost criterion for classifying objects as fixed assets is 40,000 rubles. In this case, upon receipt of computer equipment, the commission issues a receipt order (Form M-4) and a demand invoice (Form M-11). In this case, depreciation is not charged, since computer parts are included in materials.

    The following accounting entries were made in the accounting department of Zarya LLC to reflect the receipt of computer components (Table 4).

    Accounting setup

    Every enterprise or organization uses a large number of different computer equipment (computers, laptops, tablets, phones, etc.). Obviously, the data on accounted office equipment more convenient to store in the program. When the time comes for inventory, you can easily report to supervisors.

    Accounting for computers begins with their placement on the balance sheet of the purchasing enterprise. The way they are reflected in the accounting accounts depends on the cost of the equipment, its configuration, the method of recording product groups in the invoice and the terms of use of individual parts. In situations where individual components are purchased and their cost is significant, such assets should be accounted for under separate inventory numbers.

    Accounting for computer equipment as a single block

    The approach to accounting for office equipment as a monoblock does not cause discrepancies with regulatory authorities. The inspectors' argument is based on the fact that individual components cannot function independently, so they must be taken into account only as one working unit. The norm is given in PBU 6/01 and is repeated by the provisions of the Letter of the Ministry of Finance dated November 14, 2008 under No. 03-11-04/2/169.

    Accounting for computers and office equipment is kept on account 10, if the cost of the equipment does not exceed the limit of 40 thousand rubles. In this case, the amounts spent on the acquisition will be fully and immediately expensed. If the established limit is exceeded, assets are recognized as fixed assets and are subject to depreciation. Capitalization is accompanied by the execution of a transfer and acceptance certificate and the establishment of an inventory card.

    How to capitalize a computer with accounting entries:

    1. D08.4 – K60 – correspondence is drawn up at the time of purchase of the PC, the amount is indicated excluding VAT.
    2. D19 - K60 - posting reflects the amount of VAT included in the price of purchased computer equipment.
    3. D01 - K08.4 - this record indicates the commissioning of the computer.

    Accounting for computer components

    Spare parts, a set of components for office equipment are accounted for on account 10. Operations to change the owner of such consumables, adjusting the value, capitalization and write-off are reflected in subaccount 10.5.

    How to capitalize a computer if it was purchased for spare parts - in this situation, you need to focus on the expected terms of use of the parts and the cost of the assets. If the price tag does not reach the mark of 40 thousand rubles per unit of goods, then the parts should be taken into account as materials. Accounting for computers at an enterprise in situations where the price of purchased units exceeds the limit, and the service life of product items varies, is carried out for individual inventory items. Separate accounting is also allowed for planned operation in different equipment configurations.

    Computer upgrade: wiring

    When carrying out modernization, it is necessary to control the strict separation of these activities from equipment repair. Modernization of equipment is aimed at changing technical characteristics in the direction of increasing their quality level (clause 2 of article 257 of the Tax Code of the Russian Federation). Accounting for computers in an organization involves attributing to modernization repair work that led to a change in the functional purpose of the equipment. The differences between repair and modernization lie in the reason for the replacement of parts:

    • if the justification is physical wear and tear, then this is a repair;
    • if the reason is obsolescence, then we are talking about modernization.

    When accounting of computer equipment at an enterprise is carried out in separate blocks, then when parts are replaced, failed elements are written off. The basis will be a write-off act. New spare parts are accounted for as spare parts or fixed assets, depending on their valuation.

    Accounting for computers during repairs involves assigning costs to the period in which they were actually incurred. The type of expenses will be identified as ordinary activities. Components are written off by correspondence with debiting account 20 (or 23, 25,29, 26, 44) and crediting account 10. The norm is regulated by clause 67 of the order of the Ministry of Finance dated October 13, 2003 under No. 91n.

    Accounting for computer equipment during its modernization affects account 08. Improvement costs are collected in account 08. Upon completion of all stages of equipment refinement, the accumulated amounts from account 08 are transferred to the debit of account 01 to form an updated value of the initial cost (clause 42 of Order of the Ministry of Finance No. 91n). The following entries must be made:

    1. Components are written off as an accounting entry between D08 and K10.
    2. The increase in the initial cost of modernized assets is reflected through D01 - K08.
